How much does a wedding embroidery bar cost?
Short answer: staffed bars start around $5,000 for local Southern California dates, plus garments. Long answer — the one worth reading — is below.
The three anchors
- Staffed station: from about $5,000 for local events — that covers machines, trained operators, the thread and font menu, station styling, setup, and teardown.
- Staffing: $250 per hour. The clock includes setup and teardown, not just party hours — a three-hour bar is roughly a six-hour working day for the crew.
- Travel: $900 flat beyond our Orange County / Los Angeles / San Diego core. Las Vegas is the most common destination; nationwide works with six-plus weeks of lead.
Garments ride on top, quoted at your tier: think single-digit dollars for totes and caps at wholesale, climbing through tees and crewnecks to premium robes and denim jackets. We price blanks transparently so you can mix — premium pieces for the wedding party, friendly ones for the crowd.
Three weddings, priced honestly
| Scenario | Setup | Ballpark |
|---|---|---|
| Cocktail-hour bar, 80 guests, Laguna Beach | One head, 2-hr live window, caps + totes | $5,000–$6,500 incl. garments |
| Full reception, 150 guests, DTLA | Two heads, 4-hr window, claim-ticket flow, mixed garments | $8,000–$11,000 incl. garments |
| Vegas weekend, 120 guests, 2 events | Welcome-party bar + reception bar, travel & lodging | $12,000–$16,000 incl. garments |
Ranges, not quotes — your garment picks swing these more than anything else. But if a vendor quotes you dramatically below these numbers, ask what is missing. Usually it is the staffing hours, the garment quality, or the second machine that keeps your line from dying.
Where couples overspend (and underspend)
Overspend: booking six live hours when guests do 90% of their ordering in the first two. A tighter window plus a pickup rack covers the same list for less.
Underspend: cheap robes. Thin satin puckers under dense stitching and the monogram — the whole point — looks flea-market. If robes matter to you, put the savings from a shorter window into better blanks.
The zero-station option
If the budget will not carry a staffed bar, we will say so and quote pre-stitched pieces instead: robes and favors monogrammed in production ahead of the date, delivered boxed, no crew on site. You lose the theater; you keep the keepsake. Plenty of couples do both weekends apart — pre-stitched robes for the getting-ready morning, live bar at the welcome party.
